Who we are
Home Refresh (“Home Refresh”, “we”, “us”) is a residential and commercial cleaning company operating in St. Charles County, Missouri. Home Refresh is a trade name of Rom-E Technologies LLC, a Missouri limited liability company doing business as Rom-E Cleaning. Our business address is 117 S Lexington St, Ste 100, Harrisonville, MO 64701.
This policy covers this website, the cleaning services we provide, and the Home Refresh Crew app our cleaners use on the job. It explains what we collect, why, and what you can ask us to do about it.
What we collect
What you type into our quote form
The form on our contact page asks for the type of service you need, the number of bedrooms or units, your city, your target date, your name, your company if you have one, your email address, and your phone number. Every one of those fields comes to us and nowhere else.
What you tell us when you become a customer
To clean a property we generally need its full address, how we get in (lockbox code, key handoff, gate code, alarm instructions), and anything you want handled differently — pets in the home, rooms to skip, products to avoid. Access details are handled as described in section 9.
What we record about the work
We document visits with a signed checklist, and for turnover work we may photograph the condition of the unit. Those records exist to settle disputes about what was and was not done. They show the property, not you.
What your browser sends automatically
Our web host records standard server information: IP address, browser type, the pages requested, and the time of the request. We do not use it to build a profile of you.
Payment information
We do not store card numbers. Payments are handled by Stripe, which keeps that data under its own terms.
The crew app
Our cleaners use an app called Home Refresh Crew on their phones. It is a tool for our own staff, not for customers — you cannot sign up for it, and there is nothing in it about you that we do not already hold as your service provider.
The app shows a cleaner the jobs assigned to them for a given day: your address, your first and last name, your phone number, any access notes you gave us, and what the job includes. It is the same information they would otherwise carry on a printed sheet.
From the app, a cleaner sends us:
- Before and after photos of the rooms they clean. These are photographs of the inside of your home. They exist so both sides can point to the same evidence if there is ever a question about the work. We do not publish them, and we do not use them in advertising unless you tell us in writing that we may.
- Which checklist items are done, and when the job was started and finished.
- Whether the job was paid, and any extra work added to the estimate while they were at your home.
About our own employees, the app records the access code that identifies them, the times they started and finished each job, and a device identifier issued by Apple so we can send them schedule alerts. The app does not track their location: it looks up the job address to draw it on a map, and it never asks the phone where the phone is.
Employees are told what the app records before they are given a code.
Why we collect it
- To quote your job. Bedrooms, unit count, city and date are what a price is built from.
- To reach you. Email and phone are how we send the quote, confirm the appointment, and tell you if a crew is running late.
- To do the work. Address and access details are what let a crew get into the right property.
- To keep records. Invoices, checklists and photographs of completed work, so both sides can point to the same evidence later.
- To meet legal and tax obligations.
We do not sell your information, and we do not rent or trade it for marketing purposes.
Who we share it with
We share what is necessary, with parties that need it to do their job for us:
- Our cleaning staff — the address and access details for the property they are assigned to, and nothing else.
- Our web host and email provider, which necessarily handle form submissions and messages in transit.
- Stripe, our payment processor, for billing.
- Our accountant and our insurer, where an audit or a claim requires it.
- Law enforcement or a court, where we are legally required to.
We do not subcontract cleaning work, so your property details do not go to another cleaning company.
Text messages and calls
When you give us your phone number, you agree that we may call or text you about your quote and your appointments. Message and data rates may apply. Reply STOP to any text to stop receiving them, or HELP for help. Opting out of texts does not cancel your service — we will reach you by email or phone instead.
We do not send marketing texts unless you have separately agreed to them.
Mobile numbers and text messaging opt-in data will not be shared with or sold to third parties or affiliates for marketing or promotional purposes.
Cookies and analytics
This site sets no cookies and uses no analytics. There is no advertising network, no tracking pixel, and no third-party script measuring your visit.
If analytics are added later, this section will name the tool, say what it measures, and explain how to opt out. Most browsers also let you block or delete cookies in their settings.
How long we keep it
- Quote requests that never became jobs: six months, then deleted.
- Customer records, invoices and job documentation: kept as long as tax and accounting rules require, which in Missouri is generally several years.
- Access details (codes, key locations): deleted when the working relationship ends, or sooner if you ask.
- Employee records in the crew app: when someone stops working for us their access code stops working that same day, and the device identifier used to send them schedule alerts is deleted within 90 days. The jobs and photos they produced stay with the job and not with the person: they are documentation of work we did for a customer, and they follow the line above.
Your choices
Write to us at the address in section 12 and we will, within a reasonable time:
- tell you what information we hold about you;
- correct anything that is wrong;
- delete what we are not required to keep for tax, accounting, insurance or legal reasons;
- stop emailing or texting you.
We will not charge you for this and we will not treat you differently for asking.
Security
Access codes and key locations are the most sensitive thing we hold. They go to the assigned crew only, and are not posted in any public or shared channel. Our staff are background-checked.
No system is perfectly secure and we will not claim ours is. If a breach ever affects your information, we will tell you.
Children
Our services are sold to adults. We do not knowingly collect information from anyone under 13. If you believe a child has given us information, write to us and we will delete it.
Changes to this policy
If we change this policy we will update the effective date at the top. If the change is significant — a new category of data, a new party we share with — we will say so on this page rather than change it quietly.
